Privacy Policy

This explains what we collect when you check an address, where the numbers come from, and who sees your information. It is written to be read, not to be survived.

What we collect

The address you enter. We store it with the estimate we produced for it, so we can show you the same result again and answer questions about it.

Your email address. On the estimate screen this is optional — it offers to email you a copy, and the estimate works without it. If you go on to reserve an appeal we do need it, because it is how you sign in and how we reach you about your case. If you ask us to re-check your home, we keep your email address and property address so we can review the new assessment when Nassau publishes it.

Your name, if you reserve an appeal, and your phone number, if you choose to give it. The name is required at that point and not before; it is the one that goes on the authorization the county receives. The phone number is optional; we use it only for important updates about your appeal. We text it only if you tick the optional box after you sign; it is not required. We keep your answer either way, yes or no, along with the exact words you answered it beside, the number it was about, and the date, IP address and browser it came from, so we can show what you were asked and what you said. We are not sending text messages yet; when we start, replying STOP will end them.

A code from a mailer, if you arrived by scanning one, so we know which mailing a visit came from.

What we worked out about the property: the parcel identifier, the county, the assessed value, the comparable sales we used, our estimate of any over-assessment, and our confidence in it.

What you tell us about the property. Before you sign, we may ask about your home’s condition, repairs or renovations, improvements public records may not show, and nearby property or location characteristics, with space to add a note in your own words. We store these answers with your case as your account of the property, not as facts EaseMyRate has independently verified. Your answers can affect what we recommend before you authorize us.

Your signature, if you authorize us to file. Most people now sign on screen, by drawing their signature with a finger or a mouse; you can print the authorization and sign it in ink instead, and some people do. Either way we keep the signature itself — the drawing, or the scan of the page you signed — along with the date you entered, the date and time it reached us, and the IP address and browser you signed from. That record is what proves the filing we made on your behalf was one you actually asked for, so we keep it for as long as the county and the courts require and we cannot delete it on request.

We do not ask for and do not hold your Social Security number, date of birth, income, or copies of your tax bills. We ask for a card only after the county confirms your grievance has been filed, and even then it is optional — you can ask us to invoice you instead. If you do save one, you enter it on our payment processor’s own page and we never see or store the number — we hold only their token, and we charge nothing unless we reduce your assessment.

Cookies and ad measurement

We set one cookie to keep you signed in, and only once you sign in or reserve an appeal. It keeps you signed in and does nothing else. It holds no personal details, it cannot be read by scripts in your browser, it is only ever sent back to us, and signing out deletes it. If you arrive from an ad, we store the ad’s attribution codes in a secure cookie for up to 30 days so we can measure which campaigns are working. The cookie does not contain your name, address, email, phone number or property information. If you are not coming from an ad or campaign link and are not signed in, simply browsing the site does not set a cookie.

If you reserve an appeal within those 30 days, we also save the same campaign codes with your case so we can tell which campaign led to it after the cookie expires. They are kept with your case. If you ask us to delete your information, we delete them too, even when the law requires us to keep the case itself.

We measure how the site is used with server-side analytics (PostHog). PostHog does not load a tracking script in your browser, and we do not send it your name, address, email, phone number or property information. If you arrived from an ad, the attribution codes described above may also be included with our analytics events so we can measure campaign performance. EaseMyRate does not use an advertising pixel or session-recording tool. We do send Meta certain server-side events so we can measure the effectiveness of our ads and improve how they are delivered. From the point you reserve an appeal onward, those events may include hashed contact details that Meta can use for matching, ad measurement and delivery optimization. See “Meta Platforms” below for details.

Our web host keeps standard server logs, which include IP addresses, for security and troubleshooting.

We use limited technical information, such as IP address and browser/device information, to prevent duplicate activity, measure how our service is used, detect abuse, and maintain reliability. For this purpose, we convert this information into a one-way pseudonymous identifier and do not retain the raw values in the analytics record.

Where the property data comes from

Assessment figures come from the Nassau County assessment roll, which is a public record published by New York State as open data. Comparable sales come from that same open data and from RentCast, a property data provider. We query both for the address you enter, so the house number and street you type are sent to each of them in order to answer the question you asked. Your name, your email address and your phone number are not.

Who else sees it

Nassau County, if you authorize a filing. A grievance is a public proceeding. Your name, the property, and the evidence we prepared go to the Assessment Review Commission, and the filing becomes part of the county's record. This is the point of the service and it cannot be done privately.

The services we send your information to, each given only what its job needs:

Cloudflare serves this site and hosts the database your estimate is stored in, so everything you send us passes through it. Its server logs include your IP address.

New York State publishes the assessment roll as open data (data.ny.gov), and that is where we read your assessment from. Looking up an address sends the house number and street name to the State; your name, email and phone number are not sent.

PostHog is the analytics service we use to see how the site is used — which pages people reach and where they stop. It runs on our server, not in your browser: it sets no cookies, loads no scripts, and receives pseudonymous usage events keyed by internal ids only, with no names, addresses or contact details. Your events are held in its United States cloud, and if you ask us to delete your information we delete them there too.

Meta Platforms is Facebook and Instagram’s parent company. We send Meta information about certain actions people take on EaseMyRate so we can measure the effectiveness of our ads and improve how they are delivered. When you reserve an appeal, sign your authorization, or when we file your case, Meta may receive a hashed copy of your email address, name and phone number, along with the city, state and ZIP code of the property, our internal customer identifier, your IP address, browser information, and any Meta ad-click identifier associated with your visit. Meta may use those identifiers to match the event to a Facebook or Instagram account for ad measurement and delivery optimization. When you only check an address, we send only your IP address, browser information and Meta ad-click identifier — not your name, email address or phone number. This is sent from our server; EaseMyRate does not use a Meta Pixel or Meta advertising cookie.

Lob prints and posts the letter we send to the owner on the county’s record when an authorization is signed, so it receives that owner’s name and mailing address exactly as Nassau County publishes them, the address of the property, and the date the authorization was signed. It receives nothing else about you — no email address, no phone number, no figures — and it is in the United States.

RentCast is the property data provider we query for comparable sales. It receives the address you are checking, and nothing else about you.

Resend delivers our email, so it handles your email address and whatever we send you — which can include your address, a fee, or a sign-in link.

SignWell is an electronic signing service we do not use. Your authorization is signed on our own site — you draw your signature here, or print the form and sign it in ink — so nothing about you is ever sent to SignWell. We had built an option to use them and removed it before anyone signed anything.

Stripe holds your card, so it receives your name, your email and our internal customer id. The card number is entered on Stripe’s own page and we never see it.

We do not sell your information, we do not rent it, and we do not share it with other tax grievance firms, contractors, lenders, or list brokers. If we are ever compelled to disclose something by law, we will do so, and we will tell you unless we are prohibited from doing that.

How long we keep it

Estimates are kept while they are useful — an assessment appeal runs across a filing season and a decision that can arrive many months later, and we keep the record for that cycle and the following one so we can answer questions about what was filed and why.

If you ask us to delete your information, we delete your searches, estimates, account and marketing preferences, and keep only what we are not free to delete — what a filed grievance has already made part of the county's record, and the record of your agreement and your payments — which we hold for the period the law requires, restrict access to, and then delete.

Your choices

Write to help@easemyrate.com to see what we hold about you, to correct it, or to have it deleted. You do not need an account and there is no charge.

Emailing yourself an estimate does not subscribe you to anything. If we later send anything you did not ask for, every message will carry a one-click unsubscribe.

Changes

If this policy changes in a way that affects what we collect or who sees it, we will change the effective date at the top and, where we hold an email address for you, tell you directly rather than relying on you to re-read the page.
